Quick start

Create your organization, connect Shopify, and get oriented in the platform in under ten minutes.

What is Kayan?

Kayan is an AI-powered business operating system for Shopify brands. It unifies operations, finance, inventory, manufacturing, and sales into a single source of truth — so owners and operators can see the whole business clearly and act on it with confidence.

Every part of Kayan shares the same data. An order coming in from Shopify automatically updates inventory, posts to the books, and feeds the demand forecast — without any manual work.

Core concepts

  • Organization — the top-level container for your business. All data (orders, inventory, accounts) belongs to one org. You can be a member of multiple orgs with different roles in each.
  • Multi-tenant isolation — each org's data is fully separated. Even if you manage several businesses, there is no bleed between them.
  • Double-entry accounting — every financial event posts a balanced journal entry automatically. Your P&L and balance sheet are always accurate and audit-ready.
  • Real-time sync — Shopify orders, products, and inventory update Kayan within seconds via webhooks. No nightly imports.

Set up your account

    Create your account

    Go to kayan.foundersbridge.org and click "Start free". Enter your email, choose a password, and verify your address via the email we send.

    Create or join an organization

    After confirming your email, you will be prompted to create a new organization or accept an invitation. Enter your business name — this becomes the name on invoices, reports, and team notifications.

    Complete onboarding

    The onboarding checklist walks you through connecting your first integration, setting your base currency, and inviting a teammate. Each step is optional — you can skip and come back.

Connect Shopify

Connecting Shopify is the fastest way to populate Kayan with real data. Once connected, all historical orders and products are backfilled and new activity syncs in real time.

    Open Settings → Integrations → Shopify

    From the left sidebar, go to Settings, then Integrations. Click the Shopify tile.

  2. 2

    Install the Kayan Sync app

    Click "Connect Shopify" and enter your Shopify store domain (e.g. your-store.myshopify.com). You will be redirected to the Shopify install flow.

  3. 3

    Approve the required scopes

    Kayan Sync requests read/write access to orders, products, inventory, and fulfillments. Review and approve in the Shopify admin.

    Wait for the initial backfill

    Kayan will backfill up to 12 months of order history. Large stores may take a few minutes. You will see a progress indicator on the Shopify integration page.

Inventory location mapping

Kayan automatically creates an inventory location for each Shopify location. You can rename or merge these in Settings → Inventory.

Invite your team

Go to Settings → Team and click “Invite member”. Enter the email address and choose a role. Kayan ships with three built-in roles — Owner, Admin, and Member — and you can create custom roles with granular permissions on the Growth plan and above.

  • Owner — full access including billing and organization deletion.
  • Admin — full access to all modules but cannot delete the org or manage billing.
  • Member — read and write access to operations modules; no access to finance or settings by default (customizable).
