Shopify
Kayan syncs bidirectionally with Shopify — orders, inventory, products, and fulfillments flow between the two systems in real time, in both directions.
What syncs
- Orders (Shopify → Kayan) — new and updated orders arrive via webhook within seconds.
- Order payment status (Shopify → Kayan) — payment captures, voids, and refunds update the AR ledger automatically.
- Products and variants (Shopify → Kayan) — titles, SKUs, options, and images sync on creation and update.
- Inventory levels (bidirectional) — Kayan pulls the initial stock counts from Shopify and pushes inventory adjustments back after they are made in Kayan.
- Fulfillments (Shopify → Kayan) — shipping and delivery events update order status.
- Customers (Shopify → Kayan) — customer records are created or matched on first order.
What does not sync
Blog posts, pages, themes, discount codes, and Shopify Metafields are not synced. Kayan is focused on operational and financial data, not storefront content.Connecting Shopify

Go to Settings → Integrations → Shopify
Navigate to your organization settings and open the Integrations section. Click the Shopify tile.

Enter your store domain
Type your Shopify store domain (e.g. your-store.myshopify.com) in the connection form and click Connect.

Approve permissions in Shopify
You will be redirected to the Shopify admin to install the Kayan Sync app. Review the requested scopes and click Install app.

Wait for the backfill
Kayan backfills up to 12 months of orders and your full product catalogue. The progress is shown on the Shopify integration page. Most stores complete in under 5 minutes.
Inventory push-back
When you adjust inventory in Kayan (adjustment, transfer receipt, work order completion), the updated quantity is pushed back to Shopify for the matching location. This keeps your Shopify storefront from selling out-of-stock items.
Push-back can be disabled per location in Settings → Integrations → Shopify → Locations if you manage fulfilment separately for certain warehouses.
Webhook reliability
Kayan subscribes to Shopify's mandatory and recommended webhook topics. All webhook deliveries are verified using an HMAC signature over the raw request body before any data is processed. Failed deliveries are retried by Shopify automatically; Kayan also has a reconciliation poll that catches any orders missed during a webhook outage.
Duplicate protection
Each Shopify order is stored with a unique (org, Shopify order ID) key. Even if Shopify delivers the same webhook twice, Kayan only creates one order record.Kayan Sync (standalone app)
The Shopify connection is powered by Kayan Sync — a companion Shopify app published in the Shopify App Store. Kayan Sync handles the OAuth flow, webhook subscriptions, and data forwarding between your store and your Kayan organization.
Installing and uninstalling Kayan Sync is managed from Settings → Integrations → Shopify. You do not need to visit the Shopify App Store separately.
Disconnecting
You can disconnect the Shopify integration at any time from Settings → Integrations → Shopify → Disconnect. Disconnecting stops all future syncs and uninstalls the Kayan Sync app from your store. All historical data already synced to Kayan is retained.
