Inventory
Kayan tracks stock levels across every location in real time. Changes from Shopify, POS, production, and purchase order receipts all update the same ledger.
Locations
Inventory in Kayan is location-aware. When you connect Shopify, Kayan creates one inventory location for each Shopify location. You can also create non-Shopify locations — warehouses, production floors, consignment partners — to track stock held outside your stores.
- Each location has its own on-hand quantity per SKU.
- Transfers move stock between locations with a two-sided movement (out from source, in at destination).
- Multi-location fulfilment follows Shopify's routing rules when synced.
SKU mapping
Kayan maps Shopify variant SKUs to internal product variants. When a Shopify order arrives, Kayan uses the SKU to find the matching internal variant and deducts inventory. If a Shopify variant has no SKU, Kayan falls back to the Shopify variant ID as the key.
Keep SKUs consistent
Use the same SKU in Shopify and in any purchase orders or BOMs you create in Kayan. A consistent SKU across the system prevents mapping failures and ensures demand-driven replenishment works correctly.Inventory adjustments
When physical counts reveal discrepancies, you create an inventory adjustment directly in Kayan. An adjustment:
- Updates on-hand quantity for the selected location and variant.
- Posts a stock variance entry to the books (Dr/Cr Inventory Variance).
- Pushes the corrected quantity back to Shopify for the matching location.
- Is recorded in the audit trail with the user, timestamp, and reason.
You can also import adjustments in bulk via CSV from the Inventory page.
Inventory transfers
A transfer moves stock from one Kayan location to another. Transfers have two stages:
- In transit — stock has left the source location but not yet arrived at the destination. On-hand at source decreases; in-transit quantity increases.
- Received — stock has arrived. In-transit decreases; on-hand at destination increases.
Partial receipts are supported: you can mark individual line items as received and leave others in transit.
Stock valuation
Kayan uses the weighted average cost (WAC) method for inventory valuation. When a purchase order is received, the cost per unit updates the running WAC for that variant. When goods are sold, the cost of goods sold (COGS) entry uses the current WAC.
Valuation method
WAC is the only supported valuation method in the current version. FIFO support is on the roadmap.Low stock alerts
Kayan monitors stock levels against configurable reorder points. When on-hand quantity drops below the reorder point for a variant and location, an alert surfaces in the Dashboard and the AI Insights panel recommends a reorder quantity based on current sell-through rate.
