Products
Products in Kayan are the single source of truth for SKUs, pricing, and variant definitions across operations, finance, and manufacturing.
Product catalogue
When you connect Shopify, your entire product catalogue — products, variants, and options — syncs into Kayan. Each Shopify variant becomes a Kayan product variant with its own inventory, cost, and pricing record.
You can also create products directly in Kayan for items that do not exist in Shopify — raw materials, intermediate assemblies, services, or internal cost centres.
Variants and SKUs
A product can have multiple variants (size, colour, material, etc.). Each variant:
- Has a unique SKU used for inventory tracking, purchase orders, and BOM outputs.
- Carries a cost price (updated automatically from purchase order receipts via weighted average cost) and a selling price.
- Maps to one or more Shopify variants — supporting cases where a single internal SKU appears under multiple Shopify listings.
- Can have a barcode for POS scanning.
Shopify sync
Changes made to products in Shopify (title, description, price, image, variant additions) sync to Kayan automatically via webhooks. Changes made to cost price, reorder points, or BOM linkage in Kayan are Kayan-only and do not push back to Shopify.
Product creation direction
Products should be created and named in Shopify first, then managed operationally in Kayan. Creating a product in Kayan does not push it to Shopify.Cost and margin tracking
Every variant tracks its latest cost price alongside its Shopify selling price, giving you a live gross margin at the SKU level. The Dashboard and Reports surfaces aggregate these into product-level and category-level margin views.
Bills of Materials (BOMs)
Manufactured or assembled products can be linked to a Bill of Materials. A BOM defines the components and quantities needed to produce one unit of the output variant. When a work order is created and completed, Kayan consumes the component inventory and posts the production cost to the finished goods account.
See the Manufacturing guide for a full walkthrough of BOMs and work orders.
